Microsoft Copilot Cheat Sheet Part 2

5 practical ways to use Copilot every day, with ready-to-use prompts and a simple review habit before sharing.

How to use this sheet: Choose one small task, copy the sample prompt, add your context, then review the output for accuracy, confidentiality and tone.

5-point practical checklist

  1. Find information faster across Microsoft 365. Ask where a decision, deadline or file was mentioned instead of searching manually.

Find where we discussed [topic] and summarise the latest agreed position.

  2. Create first drafts of routine documents. Draft reports, proposals, agendas, summaries and briefings from existing context.

Draft a one-page update for [audience] using these points. Keep it clear, structured and action-oriented.

  3. Improve tone, clarity and structure. Rewrite content for a specific audience without changing the meaning.

Rewrite this for senior stakeholders. Make it concise, direct and easy to scan.

  4. Standardise recurring outputs. Create repeatable formats for weekly reports, handover notes, meeting recaps and project updates.

Create a reusable structure for a weekly operations update with sections for progress, risks, decisions and actions.

  5. Check the output before using it. Treat Copilot as a drafting and thinking partner, not an authority.

Review this output. What assumptions does it make, what could be wrong, and what should I verify before sharing?

Quick review rule: Before using any Copilot output, check facts, names, dates, numbers, confidentiality, audience fit and whether the result reflects your intent.

Sample prompt formula

Use this structure:

Act as [role]. Help me with [task]. Use [context]. Format it as [output]. Keep the tone [tone]. Ask if anything is missing.

Use Copilot to accelerate thinking and drafting, then apply human judgement before sharing. Keep sensitive information protected and verify anything important.
